As we discussed yesterday, one of the basic rules of thumb when speaking on the telephone, especially when it is in a foreign language, is to make sure that you always have a clear phone signal or connection whenever it is possible.

Too often, people will make long distance calls and realize they have a bad connection. Instead of hanging up and trying to call again, they’ll often say something like: “Oh, we have a bad connection. Real quickly...” or “Oh, that line is bad. Let me just say briefly...”

Hang Up - Call Again
If the conversation is important, give it the right amount of importance. Don’t play games or take chances. If you cannot hear your phone call properly or clearly, try dialing again.

Binary Tactics and Parroting
As we reviewed briefly yesterday, to save time on the phone try to reduce your conversations or any points that you will require feedback on to what care called binary issues -- issues that will require a firm “yes” or “no” answer.

In addition to helping bring focus by approaching a conversation in a binary fashion, you can also increase the efficiency of your phone communications if you make a point to repeat back to the person your understandings of what it is that they are saying.

Conversely, if the other person does the same thing while you both speak with one another, it will also improve efficiency and the clarity of all communications.

In a Hurry
When you are going to speak on the phone, if you know that you don’t have much time, please tell the person you are calling that you are also pressed for time.

In fact, if you try this little trick, your colleagues can help you make sure you’re never late! If you tell them you only have a minute, and ask for help to keep the conversation “short and sweet” it is will help.
